BUILDING USE POLICY
For Non-Member Weddings
ChristCommunityChurch
March, 2007
When you install new software on your computer, you rarely take the time to read over the whole license agreement before checking “I Accept”. Please take the time to read this policy carefully before agreeing to these terms. Before you will be given permission to use ChristCommunityChurch facilities for your wedding, you will be asked to initial and sign a form indicating that you understand and agree to abide by this policy.
1. Scheduling a wedding: The building and grounds of ChristCommunityChurch are available for wedding ceremonies for people in the Titusville community who attend a church that does not have a building. To schedule an event, please pick up a request form from the church office or request a copy of the form by mail. The form must be filled out before permission will be given for building use. When the form is approved, your wedding will be put on the calendar and the building will be reserved for your use. You will need to indicate on the form the name and position of the person who will be performing the wedding ceremony. We allow for weddings only when an ordained pastor is performing the ceremony.
2. Limited time: Approval for a wedding does not mean you are given unlimited use of the building for the entire day of the wedding. We will allow you up to two hours the night before the wedding to hold a rehearsal. Use of the building for the day of the wedding will be limited to four hours. This should allow time before the wedding for pictures and time after the wedding to greet guests.
3. Set up and clean up:
a. Set up: Time will be allowed during the week preceding the wedding for decorating the auditorium with these conditions required:
i. Decorating must be done during normal office hours.
ii. Decorating may not begin until other scheduled events for the week are finished.
iii. Nothing may be nailed to the walls.
iv. Candles should be dripless. Wax is difficult to remove from the carpets!
v. Even dripless candles drip wax - we’ve learned that the hard way! Therefore all candles must have a plastic mat under them to catch dripping wax.
b. Clean up: ChristCommunityChurch does not have a full-time janitorial staff. Those who work part time to clean the church are asked to check the building after a wedding to make sure it is clean and ready for use by the congregation on Sunday morning. Part of the fee charged for use of the building will go to cover the costs of having our janitorial people work after the wedding. This DOES NOT MEAN that someone else will clean up behind you. Please arrange for the following:
i. All decorations must be removed immediately after the wedding ceremony. Removal of decorations can’t wait until Monday. The whole building is used on Sunday morning and must be ready for use by the church family.
ii. If you rent equipment or decorations from a local florist, you need to arrange to have those decorations removed immediately after the wedding. We do not have room to store the decorations through the weekend. Every room in the building is used by the church family on Sunday morning. The building will be locked when the clean up crew is finished. You must arrange with your florist to have decorations picked up immediately after the ceremony.
iii. It is not the responsibility of the clean up crew from CCC to move your decorations. We ask them to vacuum the building and to make sure all the classrooms are in order for Sunday morning.
iv. If you have moved furnishings in the building (the communion table, chairs, etc.,) it is your responsibility to have them returned to the proper place after the wedding ceremony. It is not the responsibility of the clean up crew to set everything back in order.
v. We expect the clean up crew and the worker who runs the sound for the wedding to be treated with respect. Even though we pay them for their service, they are giving up personal time to help you have your wedding in this building.
4. Sound System: Because the sound system at Christ Community is fairly complex, the sound system is not available for your personal use and should be left alone. If you need sound or audio-visual assistance for your wedding, please indicate this need on the request form. Someone trained to operate the system and approved to by the church to run the system will be contacted on your behalf and every effort will be made to provide someone to run the sound system for your wedding. There will be a charge of $25.00 per hour for this service. The amount will depend on the length of time someone will need to be at the church to assist you in your rehearsal and wedding. You will be notified before final approval regarding the cost for using the sound system.
5. Arranging for the Building to be unlocked: We will not hand out keys to the building. The building is protected by an alarm system that requires a code to operate. For this reason, those who have keys to the building do not loan their keys. Please indicate on your request form the times you will need the building to be open.
6. Approval of requests: When you have filled out the request form, please give it to the church secretary/administrator. Final approval will be given by the deacons as soon as possible.
7. Fees: We do charge for use of the building. These fees for building use are intended to help cover the costs to ChristCommunityChurch incurred when groups use air conditioning, lights and water. There are also costs associated with wear-and-tear on equipment and facilities that we believe should be shared by groups using the building rather than being completely subsidized by ChristCommunityChurch.
i. The fee for using the building does NOT cover having someone else take down your decorations and reset the building after a wedding. We have had groups in the past demand that the clean up crew remove the decorations and reset the building. People have said, “What are we paying for anyway?” We do pay the clean up crew to check the building, but they are not responsible for removing decorations.
ii. The fee covers having someone available to run the sound system.
iii. The fee covers normal costs associated with using the building (utilities, wear and tear, etc.).
iv. The fees are:
1. $250.00 for a day or evening use (4 hr. limit)
2. $25.00 per hour for sound system operator
3. $50.00 for clean up crew
8. Security Deposit: In addition to the fees above, a security deposit of $150.00 will be required by separate check. This check will be returned on the first office day following the wedding as long as there is no damage or excessive clean up required after the wedding. When permission is given to a church group to use the building, we expect them to care for it as they would their own facilities. We have had trouble in the past with groups spilling drinks in the classrooms used for dressing. We have also had things disappear from the building (one group took all the toilet paper from the women’s bathroom, including all the paper stocked under the counters!). We will allow for normal use of paper goods and normal use of the facilities. But excessive use or damage will be paid for out of the security deposit.
9. Other: Smoking is not allowed in the church building. Please do not use rice or confetti in the
church building.
10. The church is not responsible for handling remuneration’s for the organist or other
musicians. You are responsible to provide honoraria to the musicians directly. |
